Sending safety
"Settings" → "Finance & Business" → "Sending safety" holds three switches that keep invoices, e-invoices and emails from reaching customers or a tax authority while you try Flowtly out, for example before the first real invoices of a client go out. Each switch is stored for the whole organisation, and the page always shows the value currently stored, including a change made by another administrator.
Who can change it
Only an administrator can see the tile and open the page. For anyone else the page shows nothing and the change is refused.
The three controls
Send invoice emails to a test address
While an address is set here, every invoice email goes to that address instead of the customer, payment reminders included, and copies are dropped. Enter a valid email address of at least 6 characters and choose Save. Choose Clear to remove the address, after which invoice emails go to the customers again.
Stop e-invoice submission
When on, nothing is submitted to ANAF or KSeF. Invoices are still issued and numbered as usual. The row links to the audit log, where a change to this switch is recorded. The other two controls leave no row in the audit log.
Pause email notifications
Stops Flowtly's email notifications to the members of your organisation. It also stops invoice and payment reminder emails to customers: sending one is refused with an error, not silently skipped. Only the email channel is paused; any other channel you have paused stays as it is.
Flowtly refuses to pause all three notification channels. When the in-app and push channels are already paused, the email switch is disabled and says why.
Turning a safety off asks first
Tightening a safety saves at once. Loosening one opens a confirmation that says who will be reached; Cancel changes nothing.
| Action | What the confirmation says |
|---|---|
| Clearing the test address (Clear, or saving an emptied field) | "Send invoice emails to customers?" From then on every invoice email and payment reminder goes to the real customer address. |
| Turning e-invoice submission back on | "Submit e-invoices again?" From then on e-invoices are submitted to the tax authority, ANAF or KSeF. |
| Resuming email notifications | "Resume email notifications?" Members get Flowtly email notifications again, and invoices and payment reminders can be emailed to customers again. |
Confirm with Yes, turn the safety off. If a save is refused, the page shows the error and the control returns to the stored value.
Example use cases
- Before a client's first real invoices, an administrator sets a test address so each invoice email lands in an internal inbox, and clears it once the content is checked.
- While e-invoicing is being set up, an administrator stops submission so invoices can be issued without anything reaching ANAF or KSeF.
- During a data import, an administrator pauses email notifications so members are not emailed, knowing invoice sends are refused with an error until email is resumed.
