Mail footer
Settings → Workspace → Mail footer holds your organization's email signature: one template, shared by everyone in the organization. Each person sees it on their profile page, filled in with their own name, position and contact details. It is not added to the emails Flowtly sends.
Who can change it
Only an administrator can open this screen and change the footer. Everyone else sees the result on their own profile page.
The controls on this screen
Mail footer: the text field that holds the template. It accepts HTML, so a footer can carry links, a table layout and formatting. Placeholders such as {{ fullName }} stand for each person's own details (see below).
Save: stores the template for the whole organization. A Success message confirms it. Until you save, nothing changes for anyone else.
The preview next to the field shows the layout as you type, with the placeholders still written as placeholders. Each person's own profile shows the same layout filled in with their details.
Available variables: the list of placeholders you can use, shown under the preview. Type one into the template exactly as listed.
The placeholders
| Placeholder | Filled in with |
|---|---|
{{ fullName }}, {{ firstName }}, {{ lastName }} |
The person's name. |
{{ position }} |
The position on the person's active agreement. |
{{ email }} |
The person's company email address, or the address they sign in with when no company address is set. |
{{ phoneNumber }}, {{ phone }} |
The person's contact phone number. |
{{ avatar }} |
The address of the person's profile photo, or of a tile with their initials when they have no photo. |
{{ logoUrl }} |
The organization logo set in Organization settings. |
{{ websiteUrl }}, {{ organizationWebsite }} |
The organization's corporate site URL, set in Organization settings. |
{{ organizationName }} |
The organization's name. |
{{ organizationAddress }} |
The organization's billing address, on one line. |
{{ assetsBaseUrl }} |
The address Flowtly serves its own footer images from. |
A placeholder is a name inside double braces, with or without spaces: {{ email }} and {{email}} both work. A placeholder Flowtly does not recognise, such as a misspelt {{ firstNam }}, is left in the footer exactly as written, so the mistake is visible rather than silently dropped. A detail that is not set, such as a missing phone number, becomes empty.
Placeholders are the only thing filled in. Conditions and other template commands, such as {% if phone %}, are not supported and appear in the footer as plain text.
The default footer
An organization that has never saved a footer uses a built-in one: the organization logo beside the person's full name, position, email address, phone number and the corporate site URL, each on its own line. A line whose detail is not set stays empty.
Where people see it
Each person's profile page shows a Mail footer card with the footer filled in with their own details. An administrator also sees Edit in settings there, which opens this screen.
Example use cases
- An administrator adds the organization's website and address to the footer once, and everyone's signature carries them.
- An administrator replaces the built-in footer with the company's branded layout, using
{{ fullName }},{{ position }}and{{ phone }}so each person's details still appear. - A team member opens their profile to check how the shared signature looks with their own name and position.
- An administrator spots
{{ firstNam }}showing in a colleague's footer and corrects the typo in the template.
