Departments

Flowtly Editorial Team3 min

Settings → People → Departments is the list of departments in your organization. A department has a name and, optionally, a manager chosen from your team members. People are then assigned to a department on their employee record.

Who can change it

The screen opens for people with the Positions Manager permission, which administrators have.

The list and the manager are read with employee-view access, and departments are created and changed with the Employees Manager permission. Administrators have all of these. Someone with the Positions Manager permission alone does not get that access, so the department list may not load for them.

The Department manager column and field appear only for people who can view employees. Anyone else sees departments by name only.

The controls on this screen

The list shows the column Department, and Department manager where it is available. Click the Department heading to flip the order between A to Z and Z to A. The list opens sorted A to Z. A dash in the manager column means no manager is set. On a phone, each department is a card, with the manager on a second line.

Add department: opens the Add new Department dialog. The same button appears in the empty list, which reads "No departments created yet."

Edit: the pencil at the end of a row. It opens the Edit Department dialog. There is no control to delete a department.

Both dialogs hold the same fields:

  • Department: required. Enter at least two characters, otherwise the field shows "Too short name" on the add dialog and "Please fill out this field." on the edit dialog. Two departments cannot share a name.
  • Department manager: a picker listing your team members. Shown only to people who can view employees. Optional. Former employees are not offered, except the person already set on the department. Clear the field to remove the manager.
  • Save: stores the department and closes the dialog, with a Success message. It stays disabled while Department is empty.
  • Cancel: closes the dialog without saving.

Example use cases

  • An administrator creates "Engineering", "Sales" and "Finance" once, so employee records can name a department.
  • An administrator sets a department manager so everyone can see who leads each team.
  • An administrator renames a department after a reorganization.
  • An administrator clears the manager of a department whose lead has left.
