Locations
Settings → Workspace → Locations is the list of the sites your organization works from, such as a building, an office or a floor. Each location has a name, optional opening and closing hours and an optional photo. Properties are assigned to a location, so people can tell where a bookable resource is. The list only holds the locations; it has no address field.
Who can change it
Only people with the Locations Manager permission can open this screen and change locations. Administrators have it, so do property managers, and the default Office manager permission group includes it. Without the permission, the tile does not appear on the Settings page.
The controls on this screen
The list shows one column, Location, with the name of each location. Click the column heading to flip the order between A to Z and Z to A. The list opens sorted A to Z. On a phone, each location is a card with the same name and the same edit button.
Add location: opens the Add new location dialog. The same button appears in the empty list, which reads "No locations added yet." and "Add locations for Asset booking."
Edit: the pencil at the end of a row. It opens the Edit location dialog for that location. There is no control to delete a location.
Both dialogs hold the same fields:
- Name: required. Save stays disabled until a name is entered.
- Open hour: the hour the location opens. Optional. The picker offers whole hours only.
- Close hour: the hour the location closes. Optional, whole hours only.
- Save: stores the location and closes the dialog. A Success message confirms it. On an existing location, Save also stays disabled until you change something.
A new location starts with no opening or closing hours.
A Recommendations panel above the list holds six short tips about setting up and booking locations. It has no settings. A button on the panel, named Show recommendations or Hide recommendations for screen readers, folds the panel away or opens it again.
The photo (existing locations only)
The Edit location dialog, but not the Add new location dialog, also holds a photo. A location without a photo shows Upload location photo with the note "SVG, PNG, JPG or GIF (max. 3MB)". Pick a file and it is stored at once, without pressing Save. A location that has a photo shows it with a trash icon in its corner. The icon opens a confirmation; confirm with Yes, continue to remove the photo.
To add a photo to a new location, create the location first, then open Edit on it.
Example use cases
- An administrator adds one location per office so every property has a clear physical home.
- A property manager adds "Ground floor" and "First floor" as separate locations to group meeting rooms.
- An administrator sets the open and close hour of a location, and later changes the close hour when the office shortens its day.
- A property manager uploads a photo of a building so people recognize the site in the list of properties.
