People, contracts, and schedules in one system

Flowtly connects HR records, contracts, time-off, onboarding, and headcount costs so your team has one source of truth — without juggling separate HR software.

Keep employee data, schedules, contracts, and headcount costs connected across the whole company.

· Built for HR & ops teams

How Flowtly changes HR & ops

  1. One record per person, no duplicates

Contracts, rates, roles, and time-off in one employee profile.

  2. Onboarding that finishes itself

Playbooks guide new hires through tasks, documents, and first-week milestones.

  3. Headcount cost tied to projects

See exactly what each person costs and which project or budget absorbs it.

What that looks like in Flowtly

  • Enter the full-time leave limit once and Flowtly prorates it for a part-time contract by the FTE share on the agreement.
  • Signers confirm a one-time code from their email, with no Flowtly account, and the Signatures list shows who has signed until the sealed PDF comes back.
  • A QR scan records each patrol or cleaning visit, and a round shows as done, late, partial or missed against its schedule and grace window.

  1. 1Add a team member with name, company email and phone, and invite them to Flowtly in the same step.
The Add new team member form with first name, last name, company email, contact email and contact phone, and an Invite user to Flowtly switch turned on.
  2. 2Before a leave request is sent, it shows what it changes: the days it uses, the balance now and to year end, and whether it fits.
The What this request changes panel: the request uses 1 day of leave, available now goes from 20 days to 19, to year end 25 days, was 26, and This fits what you have available.
  3. 3Everything about a person is a tab on one profile: assignments, permissions, annual time off, agreements, documents, rates, benefits and history.
A team member profile with summary cards for department, contract, start and a leave balance of 21 days, above tabs from Overview to History and an agreements table.

What HR & ops teams can switch on

Each block is a capability you can enable to match how your people operations run.

Leave balances that explain themselves

Everyone sees what is available now and what they will have by year end, and the annual leave tab shows how the figure was reached: the full-time limit, the contract’s FTE share, days accrued so far, carry-over, lapsed and used days. A part-time entitlement is prorated once, by Flowtly, from the contract.

Sign documents natively

Send any PDF, PNG or JPEG for e-signature, not only a contract from its record. Each signer confirms a one-time code sent by email, with no Flowtly account needed, and you get a sealed PDF with an audit certificate. No DocuSign tab.

Company policies with dated versions

Administrators publish each policy as dated versions that cannot be edited or deleted; a correction is published as a new version. A rule that changes next month can be published now with that start date: today’s wording stays in force until then, and choosing an earlier date in the history shows the wording that applied on that day. Every employee can read every policy.

Availability that accounts for leave and part-time

The People view measures everyone against their own contracted week and work schedule. Approved leave comes out of capacity, so someone on holiday or on a part-time contract never looks free when they are not.

Can an AI assistant do work in Flowtly, or only answer questions?
Both. Connect Claude, ChatGPT or another assistant that supports MCP connectors to one Flowtly organisation, and it answers questions from your live data, such as overdue invoices or a bank balance. It can also carry out a curated set of named actions: log work time, create or update tasks and contracts, upload a document to an invoice, close a prospect or deal, and add, invite and set access for a colleague. There is no free-form “do anything” action, and it never goes beyond what your own Flowtly permissions allow.
How do employees book desks, rooms and equipment?
A clear system accessible to all employees helps eliminate the risk of double bookings and missing equipment. Reservations can be made for minutes, hours, or days, preventing potential conflicts.
How do I plan work schedules for the whole team?
The schedule planner builds work schedules from shift templates and rotating patterns, shows FTE coverage and shares each schedule with the team.
Can requesting and calculating leave be simplified?
Yes. Employees submit requests themselves and see, before sending, the working days a request costs, their balance before and after, and any overlap with an absence they already have. Balances are calculated from the limits you set and the contract’s FTE share, and each person’s annual leave tab shows the calculation.
Can a manager record leave for someone else?
Yes, in two ways. Add absence records the time off straight away, without approval, for example for a sick note. Request on behalf files it as an ordinary request that goes to that person’s approvers; this option is available to admins and HR managers. In both cases the form shows the effect on that person’s balance before you save.
