Annual Leave
Flowtly provides configuration options for annual leave limits at both the organizational and individual employee levels. This supports scenarios involving changes in employee seniority or specific agreements with employees. The configuration for annual leave limits applied to all employees in the organization by default is located in the organization settings section. For specific employee circumstances, such as seniority changes, use the individual leave limit settings available in the employee profile.
Adding an Individual Leave Limit
Each limit can be configured with a specific agreement type and within a defined period. To set an annual leave limit for an employee, or to increase it, add a new entry specifying the new limit (e.g., 26 days) and the effective date. The form requires the following information:
- Days - the number of days defining the limit
- Start Date - the date from which the limit is applicable
- Variant - the agreement variant to which the limit applies (e.g., employment agreement or B2B)
- Holiday Type - the type of holiday the limit applies to

After adding annual leave information, it appears in the employee's list under the Free Days/Year column and is also reflected in the Free Days Left column.
To reset an employee's leave limit to a previous value, delete the current entry if the limit should no longer apply, or add a new entry to establish a new limit, effectively overriding the prior one. For instance, if an employee should have an increased limit only for a specific period, and then revert to the standard limit, "override" this limit by adding a new entry.
For example, an employee starting on January 1st with a limit of 20 days can have the limit increased by adding a limit of 26 days effective March 1st. To revert to the original limit after a specific period, another entry with a limit of 20 days can be added, effective June 1st. Leave limits apply from the date specified in the form indefinitely, until another configuration changes the limit for the same contract type and leave type.
Flowtly enables configuring annual leave settings for the entire organization, in addition to individually adjusting these settings for each employee.
Example use cases
- Adjusting leave for employee seniority: Increase an employee's annual leave limit from 20 to 26 days after they reach a certain tenure, effective from a specific date.
- Implementing special agreements: Provide a temporary increase in leave days for an employee based on a unique contract or project, then revert to the standard limit after the period ends.
- Differentiating leave by contract type: Configure distinct annual leave limits for employees on standard employment agreements versus those on B2B contracts.
- Correcting or updating leave entitlements: Modify an employee's annual leave allocation if there's a change in company policy or an error in previous settings.
