Time off approvers

Time off approvers, found under Settings → People → Time off approvers, determine the approval routing for each person's time off requests.

Approvers are resolved based on the following hierarchy:

  1. Explicit approver — An individual directly assigned as the approver for a specific person. This assignment overrides all other rules.
  2. Supervisor — The person designated in the 'reports-to' field on the employee's profile.
  3. Department manager — The manager of the department to which the person belongs, if one is configured.
  4. Fallback — Any user with the 'Time off manager' role. This rule is applied if no other approver is resolved through the preceding steps.

Utilise the Assign approvers function to set a specific approver for an individual team member, overriding the automatic resolution rules.

Example use cases

  • Assign the Head of Operations as the explicit approver for the CEO's time off requests, bypassing their default reporting line.
  • Designate a specific project lead as the explicit approver for all team members assigned to their project, ensuring project-specific oversight for time off.
  • Ensure that any time off request from an employee who does not have a supervisor or department manager configured is automatically routed to a user with the 'Time off manager' role.
