Banks
Settings → Finance & Business → Banks is the list of the banks your organization holds accounts with, and the accounts under each bank. A bank has a name and a SWIFT number; an account has a name, a currency, a type and, for most types, a number. Transactions, invoices and payments refer to these accounts.
Who can change it
An administrator or anyone with the Banks manager permission can open this screen, add and edit banks and accounts, and hide them. Only an administrator sees the delete control on an account. Adding a bank or an account is unavailable while your subscription blocks changes.
The controls on this screen
The page header
Add bank manually: opens the bank form (below) so you can type a bank in yourself.
Connect to Kontomatik: starts the automatic bank connection, which collects transactions from your bank. It appears only when the Transactions module is active. See Bank integration.
The bank connection notice
Above the list, a notice reports the state of the Kontomatik connection. It is shown to administrators and to people with the Transactions manager permission, and only once a connection has been set up; an organization that never connected a bank sees nothing.
- Bank connection is working: Flowtly is collecting transactions from your bank.
- Saved, not yet verified: the connection is saved but Flowtly has not confirmed it with the bank recently, or the last attempt did not go through. It usually clears by itself, and there is no need to connect again.
- Bank connection needs reconnecting: the bank has ended the permission Flowtly uses, or Flowtly can no longer reach it. The Reconnect the bank button opens the connection screen.
Where known, the notice adds the time the connection was last confirmed working and, if Flowtly has postponed its next check, until when.
The bank list
The list shows one row per bank, sorted by Name by default. Click the Name or SWIFT heading to sort by it; click again to reverse.
| Column | What it shows |
|---|---|
| Name | The bank's name, a number chip with how many visible accounts it holds, and a crossed-out eye with the tooltip Hidden when the bank is hidden. |
| SWIFT | The bank's SWIFT number. |
| Type | Empty on a bank row; on an account row, the account's type. |
| Bank account number | Empty on a bank row; on an account row, the account number (see below). |
Visibility: a filter that appears only while at least one bank is hidden. Visible banks (the default) leaves hidden banks out; All banks (N hidden) lists them too.
With no bank yet, the list reads No bank has been added yet and offers Add bank manually and, with the Transactions module, Connect to Kontomatik. A filter that leaves nothing shows No results. with a Clear filters link.
On a bank row
- Show accounts of (bank name): the arrow in front of the name expands the bank to show its accounts. It is disabled while the bank has none.
- Add account: opens the account form for this bank.
- Edit: opens the bank form with the current values.
- Hide / Unhide: the eye icon. Hide asks for confirmation first (Hide "(bank name)"?, then Yes, continue) and removes the bank from this list and from bank pickers; nothing is deleted, and its accounts and their history stay as they are. Unhide restores the bank at once, with no confirmation. Banks are never deleted.
The bank form
Opened by Add bank manually or Edit. Its title is Add bank or Edit bank.
Bank name: required.
SWIFT number: required. It must be 8 or 11 characters: four letters for the bank, two for the country, two letters or digits for the place, and optionally three more for the branch. Anything else is refused with Invalid SWIFT code. It must be 8 or 11 characters long and follow the standard format.
Add bank (when adding) or Save (when editing): stores the bank. A Success message confirms it. Both fields start empty, and the button stays disabled until both are filled in correctly.
When adding, the form also offers Connect automatically to Kontomatik with a Connect button (Transactions module only), as a shortcut to the same connection screen.
On an account row
Accounts appear under their bank once you expand it. Hidden accounts are not listed here; they are managed from the account list under Transactions.
- Edit: opens the account form.
- Hide: asks Hide "(account name)"? and, on Hide, puts the account away. The account and its transactions stop being shown, nothing is deleted, and it can be unhidden later from the account list under Transactions.
- Delete (administrators only): opens Permanently delete "(account name)"?. Deleting removes the account, all its transactions and its stored statement files, and cannot be undone. Type the account's name into Type "(account name)" to confirm to enable Delete account permanently; Cancel closes the dialog. The dialog suggests hiding the account instead. Flowtly refuses to delete an account that invoices or other records still point to, and the dialog then names what blocks it.
The Bank account number column shows the currency code in capitals, then masked groups and the last four digits of the number. A cash account shows a Cash operations badge and a Stripe account shows Stripe; an account with no number shows a dash.
The account form
Opened by Add account or an account's Edit. Its title is Create new account for (bank name) when adding and Edit account when editing.
Account name: required, at least two characters.
Currency: required. The choices are the codes on the Currencies screen. It cannot be changed once the account exists.
Type: required, with the choices Regular, VAT Account, Cash and Manual. A Stripe account created by the Stripe sync shows Stripe here. It cannot be changed once the account exists. Cash and Manual accounts hold transactions you enter by hand and need no number or prefix; every other type needs both.
Prefix: two characters, normally the country code of the number, such as PL. Typing two letters that match a currency code, for example PL for the Polish zloty, selects that currency for you.
Account number: required for every type except Cash and Manual. Spaces and dashes are removed when it is saved, and a country code typed at the start that repeats the prefix is dropped, so a full IBAN can be pasted. An account number can only be held by one account in the organization, hidden accounts included.
Set as default account: marks the account as the one Flowtly reaches for when none is chosen. Off by default. A hidden account cannot be the default.
Hide in transactions: hides the account. Off by default.
Create (when adding) or Save (when editing): stores the account.
Example use cases
- An accountant adds a bank by name and SWIFT number, then adds one account per currency under it.
- An administrator pastes a full IBAN into Account number with the prefix
PL, and the number is stored without the country code. - A finance manager hides a closed account, keeping its history, instead of deleting it.
- A bank manager sees Bank connection needs reconnecting and uses Reconnect the bank to restore the feed.
