Accountancy Questions facilitate direct communication between your organization's accountant and team members regarding specific bank transactions and cost invoices within Flowtly. This feature eliminates the need for external email threads or portals by attaching each question directly to the relevant financial record, ensuring all necessary context is readily available.

Key concepts

  • Question: A dedicated discussion thread linked to a single bank transaction or cost invoice. Each question has a status, which can be Open, Answered, or Resolved.
  • Questions inbox: The central location for managing all accountancy questions for your organization. Access it via Finance & business → Accountancy → Questions.
  • Access: Users assigned with accountancy access permissions can both ask new questions and provide answers within existing question threads.

Asking a question

You can initiate a new accountancy question using two methods:

  • From a record: Navigate to a specific cost invoice or bank transaction, then initiate a question directly from that record's view.
  • From the Questions inbox: Click New question within the Questions inbox. Use the type-to-search function to locate the relevant cost invoice or bank transaction, compose your question, and send it.

Answering and resolving questions

To manage existing questions:

  • Open a question thread from the Questions inbox to view its details and reply. Each thread provides a direct link to the underlying cost invoice or bank transaction.
  • Mark a thread as Resolved once the query has been addressed. Should further discussion be required, Reopen the thread at any time.

Notifications

Flowtly ensures relevant parties are informed of question activity through in-app, push, and email notifications:

  • When the accountant asks a new question, admins and accountancy managers receive notifications.
  • When a team member answers or resolves a question, the accountant who asked the question is notified. Email notifications are configured according to each user's individual notification preferences under the Accountancy category.

  • A team member needs to provide additional details for an ambiguous cost invoice submitted for approval.
  • Resolving a discrepancy identified by the accountant on how a particular expense was categorised.
