Accountant questions on transactions
Instead of chasing clarifications over email, Flowtly lets your accountant ask questions directly on a specific bank transaction or incoming cost document — and lets you answer in the same place. Every exchange stays attached to the exact record it concerns, giving you a clear audit trail at month-end.
How it works
Each transaction row in the transactions list, and each incoming cost document (supplier invoice) row, has a discussion thread. Either you or your accountant can open the thread and post a question. The other party receives a notification, replies in the thread, and once the matter is settled the question is marked resolved. The full conversation remains linked to the record for future reference.
Asking a question on a transaction or cost document
- Go to the Transactions list (for bank transactions) or the Incoming documents list (for supplier invoices / cost attachments).
- Find the row you want to discuss. Each row has a chat-bubble icon on the right; if there are unresolved questions the icon shows a count badge.
- Click the chat-bubble icon to open the discussion drawer on the right side of the screen.
- Type your question and press Send. The other party is notified immediately.
Your accountant can do the same from their Accountancy view — they find the row, click the chat-bubble icon, and post directly in the discussion drawer.
Answering a question
Open the notification or navigate to the record yourself. Click the chat-bubble icon on the row to open the discussion drawer. You will see all messages in the thread. Type your reply and press Send. There is no limit to the number of back-and-forth messages in a thread.
The Questions inbox
To see every open question across all transactions and cost documents at once, go to Accountancy → Questions (/accountancy/questions). The inbox lists all threads that still have unresolved questions, grouped by record. This makes it easy to work through a backlog of month-end queries without hunting through individual rows.
The unresolved badge
The Accountancy entry in the navigation sidebar shows a badge with the count of unresolved questions. The badge updates in real time as questions are posted and resolved, so you can always tell at a glance whether anything needs your attention.
Resolving a question
Once an issue is settled, open the discussion drawer on the relevant row and click Mark as resolved on the question. Resolved questions are hidden from the Questions inbox but remain visible in the thread history on the record itself, so the audit trail is never lost. A resolved thread can also be reopened if further clarification is needed.
Notifications
Flowtly sends notifications through the Accountancy category whenever:
- A new question is posted on a transaction or cost document you are involved with.
- Someone replies to a thread you are participating in.
- A question on your record is marked resolved.
You can manage which channels (in-app, email, mobile push) you receive these notifications on in Settings → Notifications.
Example use cases
- Month-end close: Your accountant asks about a missing VAT number on a cost transaction. You reply with the supplier's details, they mark it resolved, and the exchange is stored on the transaction for the auditor.
- Cost document query: A supplier invoice is split across two budget lines and the accountant needs confirmation. The thread on the cost document captures the decision without any email trail to reconstruct later.
- Batch review: Use the Questions inbox in Accountancy to work through all open queries in one sitting rather than opening records one by one.
