Inside Organisation settings managers have possibility to overview, create, edit, assign/unassign and plan schedules for employees. How to create Schedule and add Schedules ranges was described in Work Schedule Configuration (TO ADD LINK)

To open Schedules Management, navigate to organisation settings from the user context menu and select Work Schedules tile. On the top of the page you will see following tabs: List and Planner. All created schedules will be present inside List tab. Inside Planner tab you will have a possibility to plan schedules for employees.

Example use cases

  • Standard Full-Time Shifts: Easily set up recurring 5-day, 8-hour work weeks for administrative staff, ensuring consistent scheduling.
  • Flexible Part-Time Arrangements: Configure custom schedules for part-time employees with varying days and hours, such as a 3-day work week with specific shift times.
  • Project-Specific Rosters: Create unique schedules for teams working on a particular project that requires different shifts or durations for a limited period, then assign them as needed.
  • Seasonal Staffing Adjustments: Design different schedules for peak and off-peak seasons (e.g., summer vs. winter) for retail or hospitality businesses, allowing for quick assignment changes.

List tab

You will see a list of all previously created schedules, including their names, type (regular work week or custom) and working days preview with hour ranges displayed for each day. The number of employees assigned to each schedule will also be displayed. Each schedule in the list has an "Edit schedule" button, that allows you to navigate to the schedule configuration page. When you edit a schedule or schedule ranges with assigned employees, the changes will automatically reflect in their schedules under the Work Time item from the main menu. In addition, clicking the Edit button will trigger a notification informing you that your changes will have an impact. Inside Edit mode you can change schedule ranges, working days and also change schedule format (from 7-day work week to custom schedule and opposite). Additionally, you can enable/disable Ignore bank holidays toggle.

Note: If the schedule is "regular," you can only add full weeks to it (up to 2 weeks max). For a custom schedule, you can add individual days (up to 14 days).

To add a new time period, simply hover your cursor over the preferred day and approximate time, then click. You can also use the drag-and-drop functionality to select a time range. Inside the appeared form you can adjust time start and time end. In addition you can name each schedule range.Naming schedule ranges helps employees easily understand their work times, and durations. Save the changes to make new time range appeared in the schedule. To edit already existing time range, click on it and provide changes inside appeared "Edit schedule ranges" form. Save the changes to apply them to the schedule. To remove an existing time range, click on it, and in the "Edit Schedule Ranges" form that appears, click on the Bin button next to the "Save" button.

Configuring Schedules: 7-Day Work Week and Custom Schedules

  • 7-Day Work Week: You can configure schedules that last either 7 or 14 days. If you want to delete a week, clicking "delete" on the second Sunday will remove the entire week.
  • Custom Schedule: For custom schedules, the duration can be any number of days between 2 and 14 days. You can add or remove individual days by clicking the dedicated buttons for each day.

    Note: You will not be able to remove day/week if there is schedule range configured.

There's also possibility to change Schedule Name inside this view on the top left corner. Below the calendar, you will see the total number of hours set per schedule. After you finish modifications with work schedule, click on the "Done" button displayed below "Edit work schedule" window.
