Tenancy schedule
The Tenancy schedule lists every lease in your parks in one table: who the tenant is, which units they rent, the invoiced area, when rent starts, the rent rate and when the lease ends. It reads the leases and the price lines written in them. It is not a billing report: for what was actually invoiced, see the rent per m² report.
Who can see the schedule
The schedule appears only when the property-management features are switched on for your organisation. It is open to anyone with the contracts manager or contracts viewer role.
Where to find it
- In the main menu, under Operations › Reporting › Tenancy schedule.
- From a park's own page, with the Tenancy schedule button. This opens the schedule filtered to that park.
One row per lease per park
Each lease is one row. A lease whose units sit in more than one park appears once under each of those parks, with a note saying how many parks it covers. Such a lease is left out of the totals, so its area and rent are never counted twice.
The columns
| column | what it shows |
|---|---|
| Tenant | The trade name, or the tenant's name, with the contract number below it. |
| Unit | The first unit on the lease, and how many more there are. |
| Invoiced area | The m² the lease's rent is charged on. When the area written in the contract differs, it is shown in brackets beside it. |
| Rent from | The date rent starts. If service charges start on a different date, that date is shown below it. |
| Rent | The rent of the premises, per month, quarter or year as the lease states it. |
| End | The date the lease ends, with its status: active, before start, ended, or the number of days until it expires. |
A date that is not yet confirmed is marked planned.
Select a row to see the rest of the lease under it: the unit handover date, the date service charges start, the contract area, every unit, the park and the contract.
Rent is never converted between periods. A lease charged per quarter shows its quarterly rent, and the totals add up rents of the same currency and period only.
What counts as rent
The rent and the invoiced area come from the rent price lines written in the lease, as long as they cover the premises themselves.
A rent line marked as covering parking spaces or storage rooms counts in neither the lease's rent nor its invoiced area. Its quantity counts spaces or rooms, not m², so leaving it out keeps the rent per m² what it should be: the premises' rent over the premises' area. Rent lines with no subject marked count as rent, together with their area.
When the rent is empty
Instead of an amount, the Rent column can show one of three reasons:
| the schedule says | why |
|---|---|
| no rate | The lease has no rent line for its premises. This includes a lease whose only rent is for parking spaces or storage rooms. |
| no area | A rent line is priced per m² or per unit, but its quantity is missing, so the rent cannot be worked out. |
| mixed rates | The premises' rent lines use different currencies or different periods, so they cannot be added into one rate. |
A row with no rent amount is left out of the rent total, and the footer says how many rows were left out.
Narrowing the list
- The tabs All, Active, Before start, and leases that expire within the next 90 days.
- Park - one park, or All parks.
- Search - by tenant, unit or contract.
- Contract end - the year the lease ends.
- Currency - leases with rent in one currency.
The count beside the title, the tab counts and the totals in the footer always describe the rows on screen.
Exporting the schedule
Export CSV downloads the rows on screen, with every column and the lease details, including which dates are still planned and why a rent is empty.
Example use cases
- See which leases in a park expire within the next three months before planning re-letting.
- Check the rent and invoiced area of every lease in a park before a rent review.
- Find the leases whose rent cannot be stated, and complete their price lines.
