Tenant turnover and sales per square metre

Retail tenants often pay rent that depends on what they sell, so Flowtly lets you record each tenant's monthly sales and compare them across your centre. Two screens do this: one for entering the figures, one for comparing them.

These figures are for reporting. Nothing is invoiced from them.

Who can see the screens

Both appear only when the property-management features are switched on for your organisation. With the real-estate features off, the menu entries are not there at all.

Reading the figures needs the contracts viewer role. Entering and saving them needs contracts manager.

Where to find them

In the main menu, under Operations:

  • Tenant turnover - the entry grid.
  • Turnover comparison - the two charts.

They sit side by side in that menu group. The comparison is not a tab inside the grid.

Entering monthly figures

Tenant turnover shows a grid with one row per tenant and one column per month. Each cell holds that tenant's sales for that month.

Your staff enter these figures. Tenants do not report them themselves.

  • Choose the period with From and To. The grid opens on the current year so far, from January to the current month.
  • Rows begin as the tenants that already have a figure somewhere in the period. To record a figure for a tenant who has never reported one, use Add a tenant and pick them.
  • Type the figures straight into the cells. A comma and a full stop both work as the decimal separator.
  • Save figures writes the whole grid at once.

Only the cells you changed are sent. A save is all or nothing: if any figure is refused, nothing at all is written and the screen says so. When it succeeds you are told how many figures were added and how many were updated.

An empty cell is not a zero

This is the distinction to get right, and every part of both screens keeps it.

  • An empty cell means nobody reported a figure for that tenant and that month.
  • A 0 means the tenant did report, and the figure was zero: the shop sold nothing that month.

Those are two different statements. Read a blank as a zero and you will rank your tenants wrongly. So leaving a cell empty never records a zero, and typing 0 records a real figure.

Currency

Every figure carries a currency and it is required. The grid writes new figures in the currency the existing figures already use, so amounts stay in the tenant's own currency.

If nothing in the period has a currency yet, the save stops and asks you to record one figure with a currency first. That figure then sets the currency for the rest of the grid.

Comparing tenants

Turnover comparison draws two charts over a period you choose with the same From and To fields.

Choose at most 36 months. A wider range is refused, and the screen says how many months you asked for. If the start month is after the end month it says that instead and draws nothing.

Turnover by month

One line per tenant across the months of the period.

  • A break in a line is a month that was not reported.
  • A reported zero is drawn at zero.

It is the same distinction as in the grid, shown as a picture: a gap and a zero look different because they mean different things.

Sales per m²

One bar per tenant: their turnover divided by the floor area their leases cover, averaged over the months they reported. Tenants are ranked, highest first, so the chart reads as a league table.

The average covers only the months a tenant actually has a figure for, so a bar built from a single month is not a trend.

When a tenant has no sales per m²

A per-square-metre figure can be legitimately missing, and the screen always says which of two reasons applies. Under Tenants with no sales per m² there is one line per tenant:

  • A lease in force records no floor area, so the turnover cannot be divided. This is the one you can act on: record the floor area on the contract and the tenant joins the comparison.
  • No lease was in force in the months reported, so there is no floor area to divide by. That usually means a figure was entered for a month outside the tenancy, which is worth checking.

Neither case is drawn as a zero. A tenant with no per-square-metre figure at all still appears in Turnover by month: they reported turnover, and that is what the chart shows.

If no tenant in the period has both a figure and a recorded floor area, the per-square-metre chart says so rather than showing an empty frame.

Figures in more than one currency

The charts do not convert currencies. If the period holds figures in more than one, the screen names them and warns that the tenants cannot be compared directly: 100 RON is not 100 EUR, and a bar chart would invite exactly that comparison.
