Flowtly Assistant

Flowtly Editorial Team4 min

Flowtly Assistant is a chat in which you ask about your organisation's Flowtly data in plain language, and ask it to do things for you, such as logging time or recording a contract. It runs in its own window at assistant.flowtly.eu, signed in with your ordinary Flowtly account, and it works only with the organisation you signed in to.

It is not a separate copy of your data. Every answer is read from your live workspace, and every change it makes is made in your workspace, under your own name and your own permissions.

Opening it

  • From the workspace: an organisation administrator finds Open Flowtly Assistant in the account menu. It opens the assistant in a new browser tab, already signed in to the same organisation. If nothing opens, your browser blocked the window: allow pop-ups for Flowtly and try again.
  • Directly: go to assistant.flowtly.eu and sign in with your Flowtly email and password, or with Google. Multi-factor authentication works the same way as in the workspace.

Asking

Type in the box at the bottom and press Send. Ask the way you would ask a colleague, for example Which invoices are overdue? or How much holiday does Anna have left?

When a chat opens, the assistant starts with a short summary of your workspace. You can turn that off under Welcome message in the settings menu.

The Agent picker above the chat chooses who answers. Auto picks for you. The other choices are specialists for one area, such as accounting, finance, HR, projects, recruitment or setting up an organisation. You only see the specialists your Flowtly roles allow, and an administrator sees them all.

Asking it to do something

The assistant can also make changes: log your working time, record a contract, approve or reject an incoming invoice, add a candidate, and, for an administrator, set up an organisation and invite people. What it may do is limited by your Flowtly permissions. It cannot do anything you could not do yourself in the workspace.

Nothing is written until you confirm. Before a change, the assistant shows what it is about to do, with the details it understood, and waits. Click Confirm to go ahead or Cancel to drop it; typing yes or no works too. Actions that are hard to take back, such as deleting a record, ask for a second confirmation. Once the change is made, the reply says so.

Some specialists only answer questions and never change data. The CFO advisor is one of them.

Chats are kept

Your chats are saved and listed in the side panel under Today, Yesterday and Earlier, so you can come back to one later. A chat is named after the start of its first message, and you can rename or delete it. New chat starts a fresh one.

A long chat gets less precise. When one grows long, the assistant suggests starting a new chat.

Settings

The settings menu holds the language (English, French, Spanish, German or Polish), light or dark theme, text size, and Demo / privacy mode, which turns off the workspace summary and problem reports, for example while you share your screen. Report a problem sends a screenshot and a description to Flowtly support.

Example use cases

  • Ask which invoices are still unpaid this month, without opening the invoice list.
  • Log yesterday's hours on a project by describing them in a sentence, then confirm.
  • Record a new supplier contract from its name, amount and dates, and check the details before confirming.
  • As an administrator, set up a new organisation and invite the first colleagues from one conversation.
  • Ask how many days of holiday a team member has left.
