Flowtly delivers essential email notifications for user account management and organization-related activities.

Registration & Activation

When a new user account is established, an activation email is sent. This email contains a link that allows the user to set their password and activate their account.

Password Reset

Users who initiate a password reset request receive an email. This email includes a secure, time-limited link to create a new password.

Multi-Factor Authentication (MFA)

When multi-factor authentication via email is configured, users receive a one-time code via email during the login process. This code must be entered to successfully complete authentication.

Workspace Creation

Following registration, if a user is not yet associated with any organization, they receive an email prompting them to create a new workspace.

Organization Onboarding

Upon the creation of a new organization, the creator receives a welcome and onboarding email. This email outlines the initial steps for setting up their workspace within the organization.

User Invitations

When an individual is invited to join an organization, the invitation email content varies based on the recipient's current status within Flowtly:

  • Active user — Receives an invitation email. They can accept the invitation and switch to the new organization using the organization chooser.
  • Registered but inactive user — Receives an invitation email with a link to set up their password. This link is valid for 7 days.
  • New user (no account) — Receives an invitation email with instructions on how to register and create a new Flowtly account.

Example use cases

  • A new team member receives an email to activate their Flowtly account and set up their initial password.
  • An existing user forgets their password and requests a reset, receiving a secure link to create a new one.
  • A system administrator invites a consultant to join their organization, and the consultant receives an email with registration instructions.
  • A user enables email-based MFA and receives a unique code to verify their login each time.
