Blocking the Possibility of Booking
If you want a specific resource not to be visible to users making reservations, simply uncheck the Visible box in the configuration. This resource will be visible to a user with the appropriate manager role. In this case, it will be possible to assign the resource to any user, but only by the manager. The resource will not be visible in the publicly available reservation list.
Detailed steps to follow:
- Navigate to Resource Configuration:
- Go to the configuration settings from the user context menu and locate the resource you want to block.
- Uncheck Visibility:
- Uncheck the Visible toggle in the settings.
- Save the changes provided.
Access Control:- The resource will no longer be visible to users in the publicly available booking list.
- It will still be accessible to users with the appropriate manager role.
- Managers will be able to assign the resource to any user, but only through the manager role.
> Note: This option is useful for controlling the visibility and booking accessibility of specific resources within your organization.
Example use cases
- Temporary Maintenance: Mark a conference room or vehicle as unavailable for public booking while it undergoes repairs or routine maintenance. Managers can still assign it for internal testing if necessary.
- Exclusive Reservations: Designate specific equipment or facilities for internal use or special projects that should not appear on the general booking calendar. Managers retain the ability to schedule these.
- Resource Staging: Prevent a newly acquired asset (e.g., a projector, a specialized tool) from being booked by general users until it has been fully configured, inventoried, or inspected by a manager.
- Compliance Hold: Temporarily remove a resource from public availability due to a compliance review or safety check, while still allowing authorized personnel to access its status.
