Log time and sign off the month
Log your hours by hand or with the Project timer, check that the team has filled its month, then review, adjust and sign off a project month so finance can invoice it.

Before you start
Work Time is where everyone records hours against projects. You can log an entry by hand on the month calendar, or run the Project timer on your Dashboard and save what it measured. An entry counts as soon as it is saved: there is no separate submit step for a timesheet.
Approval happens per project and per month. The project's Account manager opens a draft of the month's client report, adjusts lines where needed, always with a reason, and signs it off. Signing finalises the report, locks its adjustments and tells finance the month can be invoiced.
This tutorial follows both sides: steps 1 and 2 are for anyone who logs time, step 3 is for whoever checks the team's hours, and steps 4 to 6 are for the account manager who signs.
What you will have at the end
Your team's hours are logged in Work Time, and the project month is signed, with its client report locked for finance.
What you need
- An active project with a client, and you on its team.
- To see other people's hours: the Work times viewer, Work times manager or Projects lead permission, granted in Settings → People → Permission groups.
- To sign the month: the Account manager position on that project's team.

- 1
Log an entry by hand
In the menu, under Workspace, choose Work Time. The page opens on a month calendar of your hours. Click a day to open the side panel: an empty day opens on Add new time entry, and a day with hours opens on Time entries, where New time entry adds another. Pick the Project, enter the duration in Log time, for example 1:30, and write a Description. Click Add time entry to save it.
Tips
- The Project list shows the active projects you are on the team of. If you are on no project team yet, it lists every active project.
- If your organisation sets a minimum, the counter under Description shows how many characters you still need. A task number in the format XX-Y, such as PRI-1, also meets the rule. Admins with the Work times manager permission set the minimum in Settings → People → Timesheets, in Minimum description length for work time.
- To fix an entry, click the day again and use the edit or delete icon beside it. You can change your own entries. A Work times manager or an administrator can change anyone's.
- 2
Or run the Project timer
Open your Dashboard and find the Project timer widget. Choose a Project and click Start. Write a Description while the clock runs. Stop & save ends the timer and saves the measured time as an entry on the day you started. Save & continue saves what you have so far and starts counting again from zero.
Tips
- Pause stops the clock without saving anything. Resume carries on, and Save entry saves the paused time.
- Stop & save stays disabled until the description meets your organisation's minimum. Hover the button to see Add a description to enable this action.
- Reset throws the measured time away after you confirm, and it cannot be recovered. Use Stop & save to keep it.
- 3
Check that the team has filled its month
Managers check the month on the same Work Time page. With the Work times viewer, Work times manager or Projects lead permission, the filter bar adds a person filter set to All team members, an Only me button and a project filter. With more than one person in view, the summary under the calendar shows Team coverage, People complete and Days to chase. Days marked Not filled on the calendar are the gaps to follow up. For a person-by-person grid, switch to Manager view with the two-column icon at the right of the filter bar.
Tips
- A Work times manager can log hours for someone else. The entry form then starts with a Team member field.
- Work Time has no approve button for a single timesheet. The approval is the monthly project sign-off in the next steps.
- 4
Open the month in the Sign-off column
In the menu, choose Projects. If you are the Account manager on at least one project, have access to invoices, or are an administrator, the list has a Sign-off column. It shows one month per project: Not started, In review, Signed, Re-opened, or Not applicable for a project without a client. Choose the month in Sign-off month, which starts at the previous month. Click a project's state to open its review.
Tips
- Only the project's Account manager can sign. That is a position on the project's team, not an organisation role. An administrator cannot sign on their behalf.
- The month you choose is kept in the page address, so a link you share opens the same month.
- A project with no client has nothing to invoice and no month to sign. Its hours are still logged and counted as usual.
- 5
Start the review and adjust lines
On the review page, click Start the review. Flowtly creates a Draft of this month's client report for the project. Its header counts your adjustments and shows the logged total next to the adjusted total. On an entry, choose Edit to change the Hours on the report or the Description on the report, or choose Exclude to leave it off the report. Fill in the Reason for the adjustment, which is required, and click Save adjustment.
Tips
- While you review, the draft is private to you. Finance relies on the state in the Sign-off column until you sign.
- The Leave this month panel lists each team member's leave in working days and hours. Leave is shown for context and never subtracted, so change a billed figure with an adjustment and a reason.
- 6
Sign off the month
When the draft is right, click the Sign off button below the draft. It names the month, for example Sign off September 2026. Confirm with Sign off. This finalises the month's report and locks its adjustments, and finance is notified and may invoice. Back on the project list, the Sign-off column shows Signed with the date and your name.
Tips
- Open the signed report, on the review page, opens the report as it was signed.
- To change a signed month, an administrator clicks Re-open and confirms. The month shows Re-opened, the earlier signed report stays as the record of what was approved, and the account manager reviews and signs again.
You’re finished!
The month is logged, reviewed and signed: the project shows Signed in the Sign-off column, and finance can invoice from the signed report.
Next month the same loop starts again. Log as you go, chase the Days to chase before month end, and sign once the hours are in.
