Electronic signatures
Electronic signatures let you send a contract for legally-traceable signing directly from Flowtly — no third-party tool required. Both your organisation and the counterparty sign online, each verified by a one-time passcode (OTP). When all parties have signed, Flowtly produces a sealed PDF and an audit certificate.
What you get

Where to find it
Open a contract at /contracts and look for the Send for signature action. Signing takes place on Flowtly's dedicated signing service at sign.flowtly.eu.
How to send a contract for signature
1. Open the contract
Go to Contracts and open the contract you want to sign. The contract must have a document attached — upload one first if needed.
2. Place signature fields (optional)
Click Send for signature. Flowtly opens a document preview where you can optionally drag signature fields onto the pages. This step is optional — you can send without placing any fields. If you do place fields, add one for your organisation's signer and one for the counterparty, reposition or resize as needed, then proceed.
3. Add signers and send
Enter the email addresses of all required signers (your internal signer and the counterparty contact). Review the pre-filled email subject and message, then click Send. Each signer receives a branded email with a secure link to the signing page.
4. Signers complete signing
When a signer clicks the link they land on the Flowtly signing page (sign.flowtly.eu). They:
- Review the full document
- Click their signature field
- Draw or adopt a signature style
- Receive a one-time passcode by email and enter it to confirm their identity
- Submit — Flowtly records the signature, timestamp, and IP address
The process repeats for each required signer. You can track progress from the contract record.
5. Receive the sealed documents
Once all parties have signed, Flowtly automatically:
- Generates a sealed PDF — cryptographically locked so any tampering is detectable
- Attaches an audit certificate listing each signer's name, email, timestamp, and verification method
- Notifies all parties by email with a link to download the final documents
When signing completes, Flowtly produces a sealed PDF and audit certificate, available from the signature request (and linked from the contract).
What the signer sees
Signers do not need a Flowtly account. They receive a plain, branded email from your organisation and click a single link. The signing page is clean and mobile-friendly. After entering their OTP they get immediate confirmation and can download the signed document.
When to use electronic signatures
Use e-signatures for contracts where you need a clear, auditable record of agreement — employment contracts, service agreements, NDAs, supplier contracts — without routing documents through a separate tool like DocuSign or Adobe Sign.
